Provider — How World Camps Works

Messaging Families

Updated 28 Sept 2026

Every enquiry and every booking opens a conversation thread with the family. Here's what you can do with it, and what depends on your plan.

Reading messages is always free

You can always read every message a family sends you — this is never limited by your plan.

Replying opens with your dates & prices

Replying to a family requires the camp to have its dates & prices online — publishing your first session puts it on Marketplace, with no annual fee — and its two documents (business registration, liability insurance) verified. Until then you read what families send but can't reply; the conversation shows you the one step left: "Add dates & prices for {camp} to reply to this family."

Replying from your own inbox

When a family writes to you, the e-mail you receive comes from "{the parent's first name} (World Camps)" at a private relay address ending in @relay.world-camps.org. Reply to it the way you reply to any e-mail — from your mail app, or with the "Reply to …" button in the e-mail — and your answer lands in the conversation and reaches the family.

Your address stays private on both sides: the family sees your camp's name as the sender, never your e-mail address; you see the family's first name, never theirs. Replies are accepted from any team member's account address and from your camp's registered contact address. Any camp that can reply in its World Camps inbox can reply by e-mail too.

Replies by e-mail work while the conversation is active — see "When a Conversation Goes Quiet for 14 Days".

AI reply drafts

World Camps can draft a reply for you to review and send. Pro and Premium include reply drafts as standard; Marketplace Partner gets 25 drafts a month; a camp whose dates are not online yet doesn't have them. On every plan there's a daily ceiling of 20 drafts per camp.

Keep contact on-platform

Messages and booking notifications go through World Camps — including the private relay address, so a family's real inbox is never exposed. Asking a family to move the conversation off-platform, or to email or call you directly to arrange payment or send medical forms, isn't something the platform supports and isn't allowed under the Provider Terms. Medical, dietary, and consent information should always be collected through the booking's "Required before camp" checklist, not by email.
