How We Protect Your Family's Data

Booking a camp means trusting us with information about your child. This article explains exactly what we collect, who can see it, and the controls you have — in plain language. The full legal detail lives in our Privacy Policy.

WHAT WE COLLECT, AND WHY

  • Your account: your name and email address, used to run your account and your bookings.
  • Your child's profile: first name and date of birth are the only required fields — they identify your child on a booking and check age eligibility. Everything else (last name, school, languages, interests) is optional and up to you.
  • Medical, dietary and allergy information: optional, and stored only with your explicit consent. Camps need it to keep your child safe on site — that is its only use.
  • Emergency contacts: so the camp can reach someone you trust during the session.

We never sell family data, and we never use your child's information for marketing.

WHO CAN SEE YOUR CHILD'S INFORMATION

Camp providers see the strict minimum, at the right moment:

  • Before they accept your request: your child's first name and age. Nothing else — no last name, no medical details.
  • After they accept, and only while the booking is active: first name, date of birth, and the medical and emergency-contact information you chose to share.
  • After the camp ends: their access to medical and emergency information closes automatically.

Every single time a provider opens your child's medical or emergency information, that access is recorded in a permanent log. You can request a copy of that log at any time through your data export.

MEDICAL INFORMATION — YOUR CONTROLS

  • Saving it always requires your explicit consent — we record when you gave it and under which policy version.
  • You can withdraw that consent at any time from your child's medical page; the information is deleted immediately.
  • Deleting a child's profile deletes their medical information immediately.
  • If your account has no booking activity for 24 months, medical and emergency-contact information is deleted automatically.

YOUR EMAIL STAYS PRIVATE

Camp providers never see your real email address. Booking emails flow through a private World Camps relay alias that forwards to your inbox, works only while your booking is active, and cannot be used to add you to a provider's mailing list.

COOKIES AND TRACKING

Nothing non-essential runs without your say-so. The cookie banner offers Accept, Reject all, and Preferences with equal weight; analytics and marketing tags load only if you opt in; and we honour the Global Privacy Control browser signal automatically. You can change your choice anytime via "Cookie preferences" in the footer.

YOUR RIGHTS

From Account, then Settings, then Privacy you can:

  • Download a copy of your data (profile, children, bookings, messages, reviews, and the medical-access log) as a machine-readable file, instantly.
  • Delete your account. If you have no active booking, your personal data is anonymised immediately; otherwise the request is queued and completes automatically once your bookings resolve. Records we are legally required to keep (payment and booking records, 10 years under Swiss commercial law) are retained without your identity attached to anything else.

Good to know: our team can only access child medical data through the same logged mechanisms — there is no unlogged "admin view" of your child's health information in day-to-day operations.
