Booking Statuses Explained

Each booking has a status that shows where it is in the booking lifecycle. Here's what each status means and what action is needed.

Active booking statuses

New request A parent has submitted a booking request and their card has been authorised — no money has moved yet. The booking is waiting for you to review and accept. You'll find it under the Requests tab. Your action: Accept or decline within 72 hours — less if the session starts sooner. The exact deadline is shown on the booking, and you can ask for one extra 24 hours if you need it.

Deposit pending You've accepted; nothing has been charged yet and the family can still cancel for free during their 24-hour window. Their deposit is charged once that window closes (or straight away if the camp starts within a week). Your action: Nothing yet — the spot is reserved and the family has been told.

Deposit paid The family's deposit has been charged and the spot is theirs. The rest is collected on the schedule shown on the booking. Your action: Send any pre-arrival information as the session approaches. Be available for questions.

Fully paid Everything due for this booking has been paid. Your action: Send any pre-arrival information as the session approaches. Be available for questions.

At camp The camp session has started and the camper is currently attending. Your action: Focus on providing a great experience. Keep parents updated if needed.

Payment issue A scheduled payment failed or is under review. We handle the retry with the family; there is nothing for you to do.

Completed booking statuses

Completed The camp session has ended successfully. The booking is complete. Your action: No action needed. The parent may leave a review.

Declined You declined this booking request. The parent was notified and no payment was taken. Your action: No further action needed. Consider messaging the parent if you'd like to suggest alternatives.

Expired You didn't answer in time; the request closed and the family was told. Nothing was charged. Your action: No action needed — but answering requests promptly stops this happening.

Cancelled The booking was cancelled — by you, by the parent, or automatically. What happens to any money already charged depends on who cancelled:

  • If you cancel a booking you had already accepted, everything the family was charged is refunded to them in full, including our fee — this is never their cost.
  • If the parent cancels, anything already charged (their deposit, or any part of the balance already taken) is not refunded to them. Only payments that hadn't been charged yet are cancelled.

Your action: No action needed. Check the booking details to see who cancelled and why.

Good to know: how quickly and how often you reply to families is shown on your public profile and counts towards how your camp ranks in search. Accepting or declining promptly keeps that healthy.
