How Payouts Work

Understand how you get paid for bookings, including timing and how funds reach your bank account.

HOW A BOOKING TURNS INTO MONEY

Nothing is charged when a parent submits a request — their card is only authorised. Money starts moving once you accept:

  1. You accept the request — the parent is notified and the booking is theirs.
  2. The deposit is captured — as soon as the parent's 24-hour free-cancellation window closes. If the camp starts within a week that window does not apply, and the deposit is captured at the moment you accept.
  3. The balance is captured in stages — on the dates your cancellation policy makes each part of it non-refundable. A Flexible policy captures the balance in one go 30 days before the start; a Moderate policy captures half at 60 days and half at 30 days. A Custom policy captures at each point where your own refund percentage drops.
  4. Stripe pays out to your bank — payouts run on Stripe's own schedule for your account, typically a few business days after each payment settles. World Camps never holds your money or schedules your payouts.

Good to know: because captures follow your cancellation policy, you are paid as the money becomes genuinely yours — never before the parent has lost the right to a refund on it.

WHEN YOU GET PAID

Two things set the timing: whether you take a deposit, and which cancellation policy you use.

  • Flexible: full refund until 30 days before the start, nothing after — so the whole balance is captured 30 days before the start.
  • Moderate: full refund until 60 days, half between 60 and 30 days, nothing after — so half the balance is captured at 60 days and half at 30 days.
  • Custom: you set the refund percentage for each period (90+ days, 60-89, 30-59, 14-29, under 14). Each drop in that percentage becomes a capture date.

Example: with a Moderate policy and a 20% deposit on a EUR 2,000 booking, you receive the EUR 400 deposit once the parent's free-cancellation window closes, then EUR 800 at 60 days before the start and EUR 800 at 30 days before — less the service fee on each.

THE SERVICE FEE

World Camps charges a service fee on each successful booking. The exact percentage for your account is shown throughout onboarding, on your Deposit Settings and Cancellation Policy pages, and on every booking's payout breakdown — it is your real rate, not a generic estimate. There is no fee on bookings that never complete.

YOUR STRIPE ACCOUNT

All payments flow through Stripe, a payment processor used by millions of businesses. Your Stripe account:

  • Holds your bank account details securely
  • Processes transfers to your bank
  • Provides detailed transaction history
  • Handles tax reporting where applicable

You can open your Stripe dashboard at any time to view transfers, update bank details, or download statements.

Tip: keep your Stripe details up to date. A payout that fails because of incorrect bank details delays your payment.
