Managing Sessions and Availability

Sessions are where you set dates, prices, and how many places you have. There are two different places to manage them, for two different jobs.

Setting up a session (camp editor)

Create and set up a session in your camp editor — name, dates, arrival/departure time, price, and the number of spots. This is also where you publish it (see "The Camp Editor and Publishing").

Once a session has a confirmed booking, its dates, price, total capacity, arrival/departure times and full-day/half-day setting are all locked. You can't change any of them from the editor — that would alter something a family has already committed to. If you genuinely need to change one of these, you have two options: cancel the affected booking (the family is refunded everything, including our fee), or contact support to arrange the change with the family's consent.

Everything else — its name, or moving it between draft and published — stays editable at any time.

Day-to-day availability (Availability page)

For quick, day-to-day capacity updates — especially if you also sell places off-platform — use the Availability page (Bookings → Availability) instead of the camp editor. There, you tell us how many spots are left to sell right now, and the total is worked out automatically as your active bookings plus that number. This never touches a family's already-booked spot.

You can raise or lower this number freely, with one hard floor: capacity can never drop below your current active bookings — that would oversell a spot someone already has. If you try to set it lower, you'll be told exactly how many active bookings are holding it up.

This is the tool to use whenever you sell a place outside World Camps — just lower "spots left" by the number you sold, and our platform will never offer that seat to a second family.

Availability is a paid-plan tool — a Free Listing camp doesn't have it.

If a published camp has no bookable session, families are shown the waitlist instead; you'll find who's waiting under Bookings → Waitlist.
